Purpose and Scope

This manual explains how event staff configure, operate, and troubleshoot the e-RegisterNow e-Ticket Scanner on supported Android devices. It covers login, ticket redemption, attendee lookup, settings, offline operation, synchronization, and common operational issues.

1Executive Summary & Overview

The e-RegisterNow e-Ticket Scanner is an Android application for event staff, gate attendants, and venue administrators. It supports barcode scanning, online server validation, offline database fallback, automatic queuing of pending redemptions, synchronization across scanners, and attendee lookup.

Key Capabilities
  • Real-time Online Redemption: Communicates directly with the e-RegisterNow server.
  • Offline StandAlone Fallback: Validates tickets against the local database when internet connectivity is unavailable or StandAlone mode is enabled.
  • Automatic Synchronization: Receives ticket-status changes from the server so each connected scanner can update its local records with redemptions made on other devices.
  • Smart Status Tracking: Distinguishes between REDEEMED, DUPLICATE, REFUNDED, NOT PURCHASED YET, and INVALID tickets.
  • Audio-Visual Feedback: Color-coded overlay flashes, centered status banners, and distinct audio tones for every scan result.
Quick Start
  1. Confirm that the device meets the stated requirements and has sufficient battery power.
  2. Open the app and sign in with the assigned Ignition Key and PIN.
  3. Confirm the gate name, camera selection, operating mode, and connection status.
  4. Scan a test ticket and verify the expected visual and audio feedback.
  5. Monitor the pending counter during operation and synchronize outstanding redemptions when connectivity is available.

9Troubleshooting & Operations FAQ

StandAlone mode is toggled on in Settings. Go to Settings and toggle StandAlone Mode to ONLINE, then tap Sync again.

The ticket exists in the database but has not been purchased in real time yet, or the app is in StandAlone mode and is not aware that the ticket was purchased. This is considered a VALID ticket and will be redeemed. When connected online, scanning the ticket allows the server to verify if it was recently purchased.

Both scanners will accept the ticket locally offline. As soon as the first scanner connects online and syncs, the server marks the ticket redeemed. When the second scanner syncs, the server records the second scan as a duplicate and updates the local database.

Go to the Settings tab and check the StandAlone Mode toggle (it will display ONLINE or OFFLINE). Additionally, on the Login screen, the bottom status icon displays a green antenna when online or a grey icon when offline.

A REFUNDED status (blue text, red screen flash, error sound) means the ticket was canceled and refunded prior to the event. Deny entry and direct the attendee to the Box Office / Customer Service desk.

Tap the floating pending counter badge (☁ X Pending) in the bottom-left corner of the Scan screen. When connected to the internet, it launches the Sync Popup Dialog to flush all offline redemptions and download the latest server updates.

The live camera scanner is toggled off. Tap the Camera Off/On floating switch in the bottom-right corner of the Scan screen to reactivate the live camera viewfinder.

The app includes built-in duplicate cooldown protection. After a barcode is scanned, a temporary lock prevents the camera from accidentally reading the exact same barcode twice in a fraction of a second. If scanned again later, it will correctly report DUPLICATE.

Yes! Go to the Look Up tab, enter their phone number or reference number, and tap Look Up. You do not need all fields filled—a search can be performed using any single piece of information (Name, Email, Phone, Reference #, or Credit Card).

Go to the Settings tab, tap the Gate Name input box, type the new gate identifier (e.g., "Gate North" or "VIP Gate"), and press enter. All future redemptions will log under this new gate name.

All pending offline redemptions are persistently stored in the device's local database. They will remain safely stored on the device across restarts and will automatically push to the server as soon as internet connectivity returns.
